PURPOSE OF POSITION

The Events Coordinator is a 12-week role to support the Brand Manager and Comms team in delivering a range of events for Ngāti Whātua Ōrākei. We have a number of events on the go and in planning and need an enthusiastic, high energy individual to work closely with the Brand Manager, our Marae, event partners and whanau to deliver successful events meeting event budgets and objectives.

The role will ensure resources, projects and programme elements are delivered through their lifespan from inception to delivery. It will also set, meet and/or exceed agreed critical path deadlines and quality standards, and anticipate and resolve challenges to quality standards, timelines and budgets, negotiating solutions as to deliver events.

KEY ACCOUNTABILITY PERFORMANCE GOALS

Event Coordination and

Delivery

  • Design, develop and deliver professional events that deliver to Whai Maia and stakeholder expectations.
  •  Develop event plans and budgets. Track progress and ensure variances are escalated.
  •  Ensure that delivery of all events meet relevant statutory and regulatory requirements.
  •  Ensure event risks are identified and mitigation/contingency strategies are developed and implemented.
  •  Negotiate, procure and schedule resources to deliver event programmes.
  •  Work closely with the Brand Manager to secure funding and resources and to understand commitments and deliverables.
  •  Ensure that deadlines, budgets and quality standards are met.
  •  Ensure you contribute to a climate of continuous improvement within the unit.
  •  Ensure event reporting and evaluation is completed in a timely manner and in accordance with funding agreements.

PERSON SPECIFICATION

* Tertiary qualification in events desirable.

* Evidence of relevant, recent and continuing experience within the events industry or related field.

* Te Reo māori knowledge and fluency is an advantage

* Full and clean drivers licence.

* Experience in working within a kaupapa Māori framework – desired

  • Can confidently recite and sing the Ngāti Whātua Ōrākei pepeha

Purpose of Position

 

The innovation intern is a 14-week role to support the Innovation Officer in completing an Augmented Reality project within Ngati Whatua Orakei Whai Maia. This will involve championing the innovation process within the organization, adopting and implementing strategies and new ideas in the creative design of a Ngāti Whātua Ōrākei narrative.

This will require working closely with the Innovation Officer, our technology partner, other organisational stakeholders and end-users to identify, recommend, and successfully deliver the project within the agreed parameters.

Key Responsibilities 

Project Coordination

  • Work closely with supplier to ensure they are delivering in accordance with agreed timeline and plan.
  •  Provide updates to the Innovation Officer on a regular basis, ensuring a ‘no surprises’ approach is taken.
  •  Ensure required meetings are organized and any key stakeholders are kept informed of progress.
  •  Complete update reports as required, to inform our Board and management on progress.
  •  Working with the communications team to ensure a successful launch for whanau and the wider community.

Quality Control

  • Ensuring the project delivers a high quality outcome for the hapū.
  •  Ensure the development work accurately reflects the pepeha elements as agreed and signed off.
  •  Arrange project milestones to be signed off in accordance with the project plan.
  •  Bring any quality or technical issues to the Innovation Officer in a timely way. 

Health and Safety

  • Make a full commitment to ensuring current health and safety practices are effective and applied
  •  Continuously strive to make the workplace safer

* IT literate and comfortable with Microsoft Office 365

* Punctual, organised, cheerful, and able to communicate well

* Is passionate about and has experience with creative design

* Experience in a complex and dynamic environment with multiple stakeholders and partners.
